New York Tech is embarking on a transformative journey to implement Workday Human Capital Management (HCM), Finance and Payroll. We are seeking a dynamic Training and Communication Specialist to play a key role in the successful adoption, rollout and support of this enterprise system. The Training and Communications Specialist will be responsible for developing and delivering effective training programs as well as executing a clear, consistent communication program that ensures all stakeholders are informed and prepared to effectively use the new Workday system. The ideal candidate will have a strong background in Workday, with expertise in developing training strategies, content creation, and delivering end-user training. This is a very hands-on role and will support functional leads, business process owners, and key stakeholders to ensure a smooth transition and adoption of the new Workday functionalities across the organization.
Responsibilities
Training Development and Delivery
Design and implement a comprehensive training plan for Workday HCM, Finance, and Payroll, tailored to different user groups (e.g., functional users, administrative groups and end-users).
Create a variety of training resources, user guides and job aides (e.g., eLearning modules, webinars, user guides, videos, instructor-led workshops) tailored to different user groups to ensure proficiency with the use of the Workday system.
Facilitate and support train-the-trainer sessions to empower internal teams and departmental ambassadors.
Deliver instructor-led training as needed (online and/or in-person) to ensure effective communication of key system changes and process improvements.
Collaborate with the PMO leadership and functional leads to align training requirements with business objectives and project timelines.
Maintain and update training documentation and materials as system updates/changes occur.
Communication Strategy & Execution:
Develop and execute a comprehensive communication plan to support the Workday HCM/Finance implementation, ensuring timely, clear, and consistent messaging.
Collaborate with project teams and leadership to create communication materials (emails, newsletters, presentations) to keep stakeholders informed.
Serve as a key liaison between the implementation team and university stakeholders, providing regular updates on project progress, timelines, and system functionality.
Work closely with the project team to stay informed of system updates and ensure training and communication materials reflect the most current system functionality.
Partner with change management team and PMO leadership to ensure communication efforts support the smooth transition to the new system for all stakeholders.
Stakeholder Engagement:
Partner with department leaders to understand unique training needs and customize content accordingly.
Conduct surveys and feedback sessions to evaluate the effectiveness of training and communication efforts; analyze user feedback and training assessments to identify areas for improvement in training and communication strategies.
Support end-users with ongoing troubleshooting, questions, and post-implementation support as needed.
At least 5 years of experience in training, communication, or change management roles, preferably in a higher education; preference will be given to candidates with enterprise system rollouts or other technical projects of similar scope and impact.
Familiarity with Workday HCM/Finance systems in a higher education setting is highly desirable. Workday certification in HCM, Finance, or Payroll is also a plus.
Strong presentation, instructional design, and content development skills.
Excellent written and verbal communication skills with the ability to translate technical concepts into easily understandable content.
Excellent interpersonal skills, with the ability to engage, influence, and inspire individuals at all levels of the organization.
Demonstrated experience in developing and executing communication plans, training programs, and stakeholder engagement initiatives.
Exceptional project management skills, with the ability to manage multiple priorities, meet deadlines, and drive change initiatives to successful completion.
Strong analytical and problem-solving skills, with the ability to think strategically and identify creative solutions to complex challenges.
Ability to work collaboratively in cross-functional teams, build strong relationships, and navigate through a complex organizational structure.
Bachelor's degree in Business Administration, Finance, Human Resources, or a related field. Master's degree preferred. Instructional design background also a plus.
