Process Mapping for Improvement

9:00am Welcome and Introductions
9:15am – 10:15am Session I – Preparation for a Mapping Event/Project
A good start often determines your ultimate success. So we start by carefully identifying the process, context, and purpose of any mapping activity. Several ‘tools’ at this stage are: Project Charter, Brain Writing (exercise), Stakeholder Analysis, Process Champion and Owner.
10:15am - 10:30am Break
10:30am – 12:00pm Session II – High Level Map
We need to orient ourselves before entering the dark forest. So the next step is to create a sense of the ‘big picture’ with a high level map like: Top Down Map, or a Value Stream Map that shows value creation as well as coordinating information. Small groups will create a high level map of a process they choose. (Participants should bring an idea of a process which others might like to explore.)

1:00pm – 2:00pm Session III – Getting into Detail
Here we will discuss mapping logistics: roles, participants to invite to a mapping session, site prep, and conventions to manage detail and capture information. Types of detailed maps will be discussed. Small groups will select a process and type of map, and then create a detailed map.

2:10pm – 3:15pm Session IV – Using Map(s)
Don’t waste all the fun you had creating those maps! Final piece is to understand how to use and manage the maps you create. Participants will explore how their maps may be useful for process improvement, process documentation, and refinement of process characteristics. We will conclude by discussing process mapping pitfalls and additional group facilitation tips.
